The Shipping and Mail Room Clerk is responsible for receiving, sorting, documentation and distribution of all incoming and outgoing packages, freight and equipment with a value of over $1.5 million dollars a year. This position is the subject matter expert for UPS Campus Ship users, including weekly invoicing, tracking, updating spreadsheets, and training other users.   Handling of SAP receivables for Operations Support, including verifying valuable shipments and P.O. tracking.  Ability to maintain strict confidentiality for the privacy of all TDS departments and personnel.

Responsibilities

Receive and ship all incoming and outgoing mail and packages in accordance to departmental procedures.

  • Receive, sort, document and distribute all incoming mail packages and equipment..
  • Prepare and document outgoing mail, shipments and freight using various services and carriers (i.e., USPS, UPS, UPS Freight, FedEx); including international shipments.
  • Track shipping vendor activity, performance and invoicing on a regular basis and provides timely and accurate monthly reporting to appropriate personnel.
  • Enter SAP information for Operations Support; maintain records for reporting and related documentation.
  • Be the subject matter expert for various mailroom and shipping equipment, and software.  Work with vendors to insure we receive the best value for the service.
  • Coordinate service calls, monitor postage balance and add funds as appropriate and coordinate yearly rate changes.

Provide support of mailroom equipment and supplies.

  • Order shipping and mailing supplies and maintains adequate inventory levels.
  • Monitor and stock copy areas with paper.
  • Respond to routine questions, provide information and assist with customer requests.
  • Maintain employee file folders.
  • Conduct analysis processes for continuous improvement and implement approved changes.

 

Qualifications

Required Qualifications

  • 1+ years office experience.
  • 1+ years experience with Windows 7, Outlook, Intranet/Internet and Microsoft Suite Products.
  • Must have and maintain a valid driver’s license, insurance, and have access to reliable transportation.

Other Qualifications

  • Mail room experience preferred.
  • Ability to maintain strict confidentiality.
  • Self-motivated, cooperative, and detail/task oriented.
  • Ability to accomplish tasks with minimal supervision.
  • Experience using Microsoft Office applications (Outlook, Word, Excel).
  • Excellent organization, prioritization and problem resolution skills.
  • Ability to cross train throughout the department.
  • Experience using general office machines; copiers, fax machines, folders inserter, PCs.
  • Must possess the ability to learn new software packages.
  • Displays professional image, positive attitude, and the ability to develop productive relationships with clients, peers, superiors, subordinates, and vendors. Communicates effectively with all levels of management.
  • Effective written and oral communication skills.
  • Dependable and accountable; must be able to arrive to work on-time and stay through designated end time.
  • Responsive and proactive in carrying out necessary tasks. Works well independently, and is also cooperative in working with team assignments and activities.
  • Ability to prioritize, compete demands, and follow-through with completion of assignments, with the willingness to work extra hours if needed.
